Unused licences after staff leave
The single most common source of licensing waste is straightforward: a staff member leaves, and their licence stays active because offboarding a user's licence isn't anyone's clearly assigned responsibility. Multiply that by a few departures a year, and a business can end up paying for several seats nobody is using, sometimes for months before anyone notices.
The wrong plan tier for user needs
The second common pattern is defaulting every user to the same top-tier licence regardless of what they actually need. A frontline staff member who only needs email and basic document access doesn't need the same premium plan as a power user running advanced analytics or compliance features - but without someone actively reviewing tier assignment against actual usage, everyone tends to end up on whatever plan was easiest to provision at the time.
Duplicate and overlapping subscriptions
Over time, businesses often accumulate overlapping subscriptions - a legacy plan alongside a newer one, or add-on licences purchased to solve a problem that a plan upgrade would have already covered.
